Simple, fixed, and agreed before we start

Every engagement is scoped in discovery and quoted as a fixed price. You know what you're paying, what you're getting and when you'll have it before anything is built.

The approach is identical. A larger engagement is simply more processes and more people involved.

What's included in every price

  • Discovery with the people who do the work, and a written plan
  • The build itself, shaped by your team's feedback
  • Documentation in plain English
  • A handover walkthrough
  • 30 days of support for questions after handover

No ongoing fees

One fixed price covers everything on the left. There's no retainer, no support contract and no subscription afterwards. The tool is yours and your team can run it.

Any software it relies on, whether that's something you already pay for (Microsoft 365, Google Workspace, an AI subscription) or an app or piece of software we recommend, is paid to the provider, not to us. We'll tell you exactly what it costs in discovery, and most of the time it's nothing extra. We don't take commission on anything we recommend.

Charity rate

Registered charities, CICs, community groups and other not-for-profits pay a charity rate on every project and engagement. Same service, same quality, same handover. How we work with charities →

What moves the price

In a government survey, nearly a third of small and mid-size businesses said software was too expensive, and cost was a particular barrier when the return wasn't clear. That's why every price here is fixed before anything starts: discovery tells us what the work involves, you get one price for all of it, and it doesn't change however much work the job turns out to need.

Typical workPrice
One tool, built around one process, for a small team£1,200–£1,800
A connected set of tools, with your existing information brought together and tidied£1,800–£3,500
Several processes across teams, delivered in stagesFrom £5,000
Charities, CICs and other not-for-profitsCharity rate on any of the above

How many things we build

One quoting tool is a smaller piece of work than a quoting tool, a job tracker and an invoice template that all feed each other. Price follows the scope of the work.

How tidy the information is

Clean exports from one system can be used as they are. Twenty spreadsheets that have grown in different directions need bringing together first. Discovery tells us which you have.

How many people are involved

Building with two people and handing over to them is simpler than working with several teams across a few sites, sometimes with travel.

How many systems are involved

A process that lives in one spreadsheet is straightforward. One that draws on the till, the booking system and the accounts needs more mapping and testing.

Whether we come on site

Remote is cheaper and usually fine for projects. Larger engagements often benefit from time with your team in the building, and the quote includes it.

Whether we need to build at all

If a well-made app or piece of software already does the job, we'll say so, and the work becomes shaping the process around it, which costs less.

Working out whether it's worth it

The simplest way to judge any piece of work like this is to compare what it costs with the time it gives back. Start with what the task costs you now: how long it takes, how often it happens, and what the person doing it is paid.

What is this task costing you?

Rough numbers are fine. Most people underestimate the first one.

hours
times a month
an hour

Hours a year on this task

192

What those hours cost

£7,200

And the saving isn't only the cost. Those hours come back as time for the work that actually needs that person: customers, the backlog, the things that keep getting pushed to next week.

The cost adds 25% to pay for employer National Insurance, pension and paid holiday. For a typical full-time employee the true figure is about 15% to 30% (less if you claim the Employment Allowance), so 25% is a fair middle.

Then compare. A £1,600 project that gives back six hours a month of someone whose time costs £30 an hour (including National Insurance, pension and holiday) pays for itself in about nine months. One that gives back eighteen hours a month pays for itself in about three.

Every process is different, so we don't quote a typical payback. We'll do the sum with your numbers before you commit to anything.

Common questions

How much does process support cost?

Projects start at £1,200 and most fall between £1,200 and £3,500. Larger engagements start at £5,000. Every price is fixed before work begins.

Is £1,200 really the minimum?

Yes. That's what it takes to do discovery, the build, testing and handover well, and we won't cut corners on any of them. If your job is smaller than that, we'll say so and suggest another route, which is sometimes a well-made app or piece of software, or a few changes you can make yourself.

Do you charge by the hour?

No. You get one fixed price, agreed before anything starts, and it doesn't change however much work the job turns out to need.

How do we get an accurate price?

Tell us the process, who does it, how long it takes and how often. That's enough for a rough range by return. A discovery call (free, no obligation) turns the range into a fixed quote and a start date.

What if we want changes later?

Small changes your team can usually make themselves; that's what the handover is for. For bigger ones, we're happy to quote separately.

Do we need technical staff?

No. If you can use a spreadsheet, you can use what we build, and we'll show you everything.

What happens after you've gone?

The tools are yours. They're documented, your team has been walked through them, and you have 30 days to ask questions. The aim is that you won't need to call us back, and if you'd like a change later, we're happy to quote for it.

How long does it take?

It depends on what's involved, and you'll know before you commit. After discovery we agree a start date and a fixed finish date, so you always know when you'll have it. Larger engagements are delivered in stages, so your team uses and checks each part before the next and day-to-day work carries on as normal.

Are there ongoing costs?

None from us. One fixed price covers everything above. If we recommend an app or a piece of software, its subscription is paid to the provider, not to us, and we'll tell you the cost before you decide.

Will this replace people?

No. We take the repetitive parts of a job off the people doing it so they can spend their time on the work that needs them. Teams end up doing more of the work that matters, not less work overall.

Do you come on site?

Yes, when it helps. Projects are usually done remotely; larger engagements often include time with your team in the building. We're based in Yorkshire and work across the UK.

What does "AI support" mean in practice?

Tools set up around your own documents and procedures, for drafting routine correspondence, answering questions from your own policies, and summarising long documents. We show your team how to use them and how to check them. If AI wouldn't help your process, we don't use it.

How do you decide what's a project and what's a larger engagement?

Discovery tells us. One process with a clear boundary is a project. Several connected processes, or one that touches several teams, is a larger engagement. We'll tell you which, and why, before quoting.

What's taking up your time?

Tell us the process that takes the most time or causes the most frustration. We'll come back with an honest view of whether we can help.
