Process improvement, built with your team

Every organisation has work that costs more than it should. We find it, fix it with the people who do it, and hand it over with everything your team needs.

Where the time actually goes

Most of the cost in a process sits in steps nobody chose. Retyping figures from one system into another, chasing people for their numbers, rebuilding the same report by hand every month. They happen because that's how it's always been done.

Discovery maps every step: what happens, which system, how long, how often. Then we take out the ones that don't need a person and build for what's left. Wherever we can, we use the tools your team already has.

Sometimes the answer isn't something we build at all. If a well-made app or piece of software already does the job, we'll tell you, and shape the process around it. We don't take commission on anything we recommend.

Seven steps became three. The tool does the rest.

How an engagement works

Discovery

We start with a conversation, then spend time with the people who actually do the work. We map each step: what happens, which system, how long, how often. Most teams are surprised by what adds up. We also check whether something off the shelf already does the job. Discovery ends with a short plan, a fixed quote and an agreed start date.

Build together

We build it in your software and check in with your team as it takes shape. They try it on real work, tell us what's awkward, and we change it. If something could be simpler, we make it simpler. They're the ones who'll use it.

Handover

Everything is documented in plain English. We walk the team through it, answer the questions, and stay available for 30 days afterwards. After that it's yours, and it works without us. We don't tie you in: there's no retainer and nothing to renew.

What we build

Excel and Google Sheets tools

Most organisations already run on spreadsheets, and with good reason. Over time they grow, and they get harder to trust. We rebuild them so they're easy to use and built to last: quoting and costing tools, trackers that flag what needs attention, one-click reports from your exports, and tidy templates your team will be glad to use. Built in Excel or Google Sheets, so nobody learns new software.

Getting more from your spreadsheets →

Example: a care home's agency spend, tracked as shifts are booked.

Process redesign and documentation

Sometimes the tool isn't the problem. The process is. We look at the whole journey a job takes, remove the steps that exist only out of habit, and write the rest down so a new starter is useful in days and nothing depends on one person remembering.

And the right tool may already exist. If a well-made app or piece of software already does the job, we'll say so, and redesign the process around it instead.

Example: a plumber's discovery note, from enquiry to being paid.

Easy-to-use AI support your team will feel confident with

Where it helps, we set up AI tools around your own documents, procedures and ways of working: drafting routine letters and marketing, answering "how do we…" questions from your own policies, and summarising long documents. We show the team what it's good at, what it isn't, and how to check its work. Where it doesn't help, we leave it out.

Introducing AI to a small team →

Example: a dog groomer's marketing plan for the month, with this week's posts drafted for approval.

Who we work with

Manufacturers, distributors, professional services and agencies with 20 to 250 people. Often it's one team that needs the help: admin, HR, finance, marketing or support.

What it usually looks like

  • Monthly reporting that takes days
  • Quoting and job costing done by hand
  • Stock and order information in three places at once

What we'd typically build

  • A one-click reporting workbook from your exports
  • A costing tool the whole team uses the same way
  • One clean source for stock and orders

Registered charities, CICs and community groups. Charity rate applies.

What it usually looks like

  • Funder returns rebuilt from scratch every quarter
  • Service-user records and volunteer hours in separate sheets
  • Spreadsheets that have grown for a decade

What we'd typically build

  • One-click funder reporting
  • Standard templates every site uses
  • A written intake-to-report process

How we work with charities →

Membership bodies, associations and professional networks.

What it usually looks like

  • Renewals chased by hand
  • Event bookings in one sheet, member emails in another
  • Member records that never quite match

What we'd typically build

  • A renewal tracker that flags who's due and writes the reminder
  • An event booking template with a live attendee list
  • One member record everyone works from

Owner-run businesses, the self-employed and small teams of up to 20 people, where the owner is often the admin department too.

What it usually looks like

  • Quotes typed in Word from a paper price list
  • Invoices built from scratch every time
  • Month-end that eats a weekend

What we'd typically build

  • One tool that quotes in minutes and turns it into the invoice, or an app that already does
  • A tracker that replaces the notebook
  • Templates that make month-end an afternoon

Typical engagements

Larger engagement · £6,500

Mid-size manufacturer, two sites

Monthly reporting takes operations and finance four days: figures from the production system, the till, three spreadsheets and a paper despatch log. We'd map the flow, rebuild the spreadsheets as a set of clean Excel tools, and build a one-click reporting workbook that pulls the exports together and produces the monthly pack. Delivered in three stages, with the ops team checking each before the next. Reporting becomes an afternoon.

Larger engagement · Charity rate

Regional charity, four sites

Service-user records, volunteer hours and funder returns live across spreadsheets that have grown over a decade. We'd standardise the templates, build a one-click funder-reporting dashboard, and document the whole intake-to-report process so a new coordinator picks it up in a week. Staged around the team's delivery commitments.

Project · £2,400

Membership body, 12 staff

Renewals chased by hand, event bookings in one spreadsheet and member emails in another. We'd build an Excel renewal tracker that flags who's due and produces the reminder, and a Sheets event-booking template with a live attendee list for check-in on the day. Reminders go out on time without anyone chasing them.

Project · £1,200

Self-employed plumber

Quotes typed up at night from a paper price list, invoices built from scratch, late payers noticed a month on. A well-made app or piece of software would do most of this job, so we'd say so and build the process around it: a tidy price list to load into it, a simple job log showing what's quoted, booked and paid, and the steps written down from enquiry to payment. We don't take commission on anything we recommend. Quotes go out from the van the same day.

Common questions about the service

Do you only work in Excel?
No. We start with the tools your team already has (often Excel or Google Sheets, because that's what most organisations run on) and bring in other tools when they genuinely suit the job better. Whatever we use, your team is shown how it works and owns it at the end.
Can you work with the systems we already have?
Yes. Most of what we build takes the exports your existing systems already produce (accounting software, booking systems, tills, CRMs) and turns them into something useful without touching the systems themselves.
What if our process is a mess?
That's completely normal: most processes grow untidy over time. Discovery is where we untangle it, and a messy process usually hides a simple one.
Will you tell us if we just need an app or some software?
Yes. If a well-made app or piece of software already does the job, building something would waste your money, so we'll say so and shape the process around it instead. We don't take commission on anything we recommend.
Do you work on site?
Yes, when it helps. Projects are usually remote; larger engagements often include days with your team. We're in Yorkshire and work across the UK.

What's taking up your time?
